The Project Management team at Oxford Policy Management is currently seeking a Project Administrator on a fixed-term basis for 12 months.
The position will be located at our Islamabad- Pakistan Office

The objectives of the role are:
The PMO manages the administrative and operational backbone of projects, ensuring smooth workflow, documentation, and coordination across teams.
It supports project delivery by handling scheduling, reporting, resource tracking, and other essential operational tasks that keep projects on track.
Manage contracts, logistics, and event coordination, ensuring smooth execution of project activities and compliance with organizational policies.
Oversee invoicing and financial tracking while coordinating with all functional units to maintain alignment and operational efficiency.
Serve as the central point for administrative support, connecting project teams with leadership and other departments to ensure seamless workflow
Project Administration & Coordination
Manage day-to-day administrative operations of assigned projects, ensuring timely execution and compliance with procedures.
Coordinate across project teams, leadership, and functional units to facilitate smooth handovers and decision-making.
Maintain accurate project documentation, records, and databases for easy access and reporting.
Financial & Contract Management
Oversee invoicing, financial tracking, and budget monitoring for assigned projects.
Support contract administration, ensuring agreements are processed accurately and on time.
Events & Logistics
Plan and coordinate project-related events, workshops, and meetings, managing logistics and participant communication.
Ensure all logistical requirements for project activities are anticipated and efficiently executed.
Reporting & Monitoring
Prepare project dashboards, performance reports, and compliance updates for leadership and donors.
Monitor project progress and highlight risks or issues that may impact delivery.

Professional Qualifications / Equivalent Experience
ACCA affiliate or equivalent professional qualification, or substantial relevant experience in project administration and operations.
Proven experience supporting multi-sector projects, ideally in donor-funded or international development contexts.
Technical Expertise
Strong proficiency in project management tools, MS Office (especially Excel), SharePoint, and reporting systems.
Experience in contracts administration, invoicing, budgeting, and logistical coordination for projects.
Knowledge of compliance, governance, and donor reporting requirements.
Soft Skills / Autonomy and Management
Strong organizational and time-management skills with the ability to prioritize competing demands.
Excellent communication and stakeholder management skills across diverse teams and functions.
Ability to work independently, take initiative, and problem-solve while maintaining attention to detail.
Collaborative mindset with the ability to foster teamwork and maintain strong professional relationships.
